SUMMARY

Friends of Kids with Cancer is a nonprofit organization dedicated to enriching the daily lives of children undergoing treatment for cancer and blood-related diseases, as well as their families, through emotional, social, and financial support.

The Events & Community Outreach Coordinator is responsible for owning and executing all organizational events as a primary revenue strategy. This role leads event planning from concept through completion, drives sponsorship and fundraising efforts tied to events, and builds community partnerships that increase visibility and support.

This position operates as the single point of ownership for events, collaborating cross-functionally with Marketing, Finance, Programs, and the Volunteer Coordinator to ensure successful execution while maintaining clear accountability.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 Event Management & Fundraising (Primary Ownership)

  • Serve as the primary owner of all organizational events, responsible for timelines, communication, execution, and completion.
  • Plan and execute all internal fundraising and community events (e.g., trivia night, walk, golf tournament, fashion show, and community “3rd Party” events).
  • Develop and manage event budgets in partnership with Finance; monitor revenue and expenses throughout the event lifecycle.
  • Own event fundraising goals, including sponsorship revenue, ticket sales, and in-kind contributions.
  • Build and manage sponsorship pipelines, including outreach, tracking, fulfillment, and stewardship.
  • Partner with the Executive Director on major sponsor cultivation, while independently managing event-level sponsors.
  • Oversee event platforms (e.g., GiveSmart), registration coordination, and event reporting.
  • Ensure all event deadlines, needs, and deliverables are clearly communicated in writing across teams.
  • Schedule and lead post-event debrief meetings within two weeks of each event and implement improvements.

Volunteer Committees & Leadership Engagement

  • Recruit, develop, and support event planning committees and volunteer leaders.
  • Partner with committee chairs to plan and execute events, providing structure, timelines, and accountability.
  • Identify opportunities to strengthen committees through recruitment, role clarity, and ongoing engagement.
  • Ensure committees are aligned with organizational goals, timelines, and fundraising expectations.
  • Provide consistent communication and support to maintain momentum and a positive volunteer leadership experience.

Community Outreach & Partnerships

  • Build and steward relationships with corporate partners, local businesses, and community organizations to support event sponsorships and fundraising.
  • Identify and secure third-party fundraising opportunities and community-hosted events.
  • Represent Friends of Kids with Cancer at outreach events, networking opportunities, and presentations.
  • Develop partnerships that increase both revenue and mission visibility.

Volunteer Collaboration (Cross-Functional Partnership)

  • Communicate event-specific volunteer needs, timelines, and expectations to the Volunteer Coordinator.
  • Collaborate to ensure events are appropriately staffed with trained volunteers.
  • Provide timely updates and adjustments to support successful volunteer execution.
  • Partner on volunteer recognition efforts connected to events, as appropriate.

 Donor & Sponsor Engagement

  • Ensure sponsors and donors are appropriately recognized before, during, and after events.
  • Support donor cultivation through event experiences and community engagement.
  • Maintain strong relationships with sponsors to encourage repeat and increased support.

 Communications & Cross-Team Coordination

  • Provide event details, timelines, and content needs to Marketing to support promotional efforts.
  • Collaborate on event materials, sponsorship collateral, and messaging while deferring final approval to Marketing.
  • Coordinate with Programs to integrate mission moments, patient stories, and family participation into events.
  • Partner with Finance and Administration on registration tracking, financial reconciliation, and reporting.

 

REQUIREMENTS

  • Highly organized and self-motivated, with ability to manage multiple events and deadlines simultaneously
  • Strong fundraising mindset with confidence in securing sponsorships and building partnerships
  • Excellent communication, relationship-building, and project management skills
  • Ability to work independently while collaborating across a small, cross-functional team
  • Comfortable owning outcomes and being accountable for event success and revenue performance
  • Compassionate and mission-driven, with sensitivity when working with children and families facing serious illness
  • Availability to work occasional evenings and weekends for events
  • Must pass all required background checks

 

 COMPENSATION

Full-time, 40 hours per week. Salary commensurate with experience.
Benefits include PTO, paid holidays, and employee only health, and dental insurance.

 

SCHEDULE

Monday–Friday, standard business hours. This role requires occasional evenings and weekends for events; flexible scheduling, comp time, and limited remote work opportunities are provided to support work-life balance.
