Volunteer Coordinator
Reports to: Executive Director
FLSA Status: Full-Time, Non-Exempt
SUMMARY
Friends of Kids with Cancer is a nonprofit organization dedicated to enriching the daily lives of children undergoing treatment for cancer and blood-related diseases, as well as their families, through emotional, social, and financial support.
The Volunteer Coordinator is responsible for owning the full lifecycle of volunteer engagement, including recruitment, onboarding, scheduling, communication, and retention. This role ensures volunteers are effectively integrated across programs, events, and organizational initiatives.
This position serves as the single point of ownership for all volunteer systems and relationships, working in close collaboration with the Events & Community Outreach Coordinator and Programs team to fulfill organizational needs while maintaining a positive and meaningful volunteer experience.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Volunteer Program Management (Primary Ownership)
- Serve as the primary owner of the volunteer program, including strategy, systems, communication, and overall experience.
- Recruit, onboard, train, and retain individual and group volunteers.
- Develop and maintain volunteer policies, procedures, and best practices.
- Manage volunteer scheduling, assignments, and placement across events, programs, and administrative needs.
- Maintain accurate volunteer records, including hours tracking, participation, and engagement data.
- Ensure completion of background checks, documentation, and compliance requirements.
Volunteer Engagement & Retention
- Build strong relationships with volunteers to foster long-term engagement and retention.
- Develop and implement volunteer recognition and appreciation strategies.
- Serve as the primary point of contact for all volunteer communication, including updates, scheduling, and opportunities.
- Address volunteer questions, feedback, and concerns in a timely and professional manner.
Event Support (in partnership with ECOC)
- Collaborate with the Events & Community Outreach Coordinator to fulfill volunteer needs for all events.
- Receive event-specific volunteer requirements, timelines, and expectations, and translate them into clear assignments and schedules.
- Assign and communicate volunteer roles to ensure events are appropriately staffed and supported.
- Ensure volunteers are prepared, informed, and supported before, during, and after events.
Program Support (in partnership with Programs Team)
- Coordinate volunteers for programmatic needs, including family events, hospital-based support, and seasonal initiatives.
- Partner with the Programs team to understand volunteer needs and ensure appropriate placement and preparation.
- Support volunteer involvement in mission delivery while maintaining a high-quality experience for families and participants.
Community Volunteer Partnerships
- Build and maintain relationships with corporate groups, schools, and community organizations to expand volunteer engagement.
- Coordinate group volunteer opportunities in collaboration with Events and Programs.
- Support volunteer-driven initiatives such as donation drives and service projects.
Communications & Coordination
- Develop and distribute volunteer communications, including newsletters, schedules, and updates.
- Collaborate with Marketing to promote volunteer opportunities and share impact stories.
- Ensure clear, timely, and consistent communication of expectations and changes.
REQUIREMENTS
- Highly organized and detail-oriented, with ability to manage multiple schedules and priorities
- Strong interpersonal and relationship-building skills
- Excellent written and verbal communication skills
- Ability to manage logistics while maintaining a positive, people-centered approach
- Comfortable working cross-functionally in a collaborative team environment
- Compassionate and mission-driven, with sensitivity when working with children and families facing serious illness
- Availability to support occasional evenings and weekends
- Must pass all required background checks
COMPENSATION
Full-time, 40 hours per week. Salary commensurate with experience.
Benefits include health, and dental insurance; paid time off; and paid holidays.
SCHEDULE
Monday–Friday, standard business hours. This role requires occasional evenings and weekends to support events and programs; flexible scheduling and comp time are provided to support work-life balance.
